Introduction to the position

Africa Capitalworks is seeking to hire an Office Manager to ensure the smooth day-to-day operation of the Casablanca office and to support senior management with administrative coordination, human resources, internal communication, and general office management. As a central operational hub, the Office Manager plays a key role in ensuring efficient internal processes, high-quality working conditions, and a professional image of the firm, while supporting interactions with investors, partners, and portfolio companies. The role also supports compliance with applicable local and international regulatory, reporting, and operational requirements relevant to an international investment platform.

Your role

General Administration and Executive Support : - Manage the daily administrative operations of the office (correspondence, office supplies, service providers, general services, contracts). - Coordinate calendars, travel arrangements, and meetings for partners and senior management, including meetings with investors and portfolio companies. - Organise and support internal and external meetings (investment committees, board meetings, portfolio company reviews), including preparation of materials, minute-taking, and follow-up on action items. - Act as the primary liaison with suppliers, technical service providers, and internal support functions (IT, maintenance, security). - Ensure compliance with internal procedures and maintain structured document management (contracts, archives, collaborative tools). - Provide administrative support for Group Finance as requested (e.g. expense capture and transmission to Capitalworks finance team, insurance information etc). - Support operational and documentation requirements linked to regulatory, tax residency, and economic substance expectations. - Proofread and review internal and external documents, presentations, and communications to ensure accuracy, clarity, and high professional standards. - Assist with Environmental, Social and Governance (ESG) initiatives, including ongoing and quarterly data collection, ad-hoc ESG reporting, and coordination of ESG-related training and awareness initiatives, with tools and training provided by the Group. Human Resources Administration & Development : - Provide administrative support as requested by Capitalworks Group HR: tracking leave, absences, expense reports, certificates, and medical visits. - Manage operational onboarding and offboarding processes in line with Group protocols. - Contribute to HR development initiatives when requested by Capitalworks Group HR: performance review tracking, training plans, and HR best-practice monitoring. - Support the implementation of Group HR policies, including internal communication, employee well-being, and company values. - Provide administrative support if requested by Group Finance in relation to statutory compliance requirements and liaise with external advisors as needed. - Coordinate internal compliance-related training sessions, with training and guidance provided by the Group. Office Operations & Facilities Management : - Oversee workspace management, including maintenance, office layout, equipment, and facilities. - Monitor and manage the operating budget as instructed by Group finance (office expenses, subscriptions, service providers). - Act as the internal reference point for office tools and services (office equipment, telephony, access badges, etc.). Corporate Life & Internal Culture : - Organise internal events such as team-building activities, seminars, and company-wide meetings. - Propose and implement initiatives that strengthen team cohesion, engagement, and motivation. - Serve as the main point of contact for all matters related to office life, workplace experience, and team well-being.

Your qualifications

- Bachelor’s or master’s degree (Bac+3 to Bac+5) in management, human resources, executive assistance, or a related field. - Minimum 5–7 years of experience in an Office Manager or similar role, ideally within an investment firm, professional services, or corporate environment. - Excellent command of English (French is a strong asset). - Strong organisational skills, attention to detail, and ability to work autonomously. - High level of professionalism, discretion, responsiveness, and service mindset. - Excellent interpersonal communication skills. - Solid understanding of HR administration and payroll fundamentals. - Proficiency in Microsoft Office and collaborative tools (Teams, SharePoint, etc.). - Excellent writing and proofreading skills, with the ability to produce and review high-quality professional documents. - Ability to understand and support governance, regulatory, and ESG-related processes with appropriate guidance and training. - Interest in internal communication, employee engagement, and corporate culture initiatives.
